These Terms and Conditions ("Terms") govern the use of the AG Site Solutions website, booking system, customer portal, and all services provided by AGEPC LTD trading as AG Site Solutions ("we", "us", "our").

By using our website, requesting a quotation, making a booking, purchasing a service, or accessing any customer portal or downloadable documents, you agree to be legally bound by these Terms.

If you do not agree to these Terms, you must not use our services or website.

  • Property Photography

Services may vary depending on location, property type, availability, and legal requirements.

3. Booking Terms

3.1 Online Bookings

Customers may book services through our website, customer portal, phone, email, third-party platforms, or partner websites. Submitting a booking request does not automatically confirm an appointment.

All bookings are subject to:

  • Availability
  • Property suitability
  • Service area coverage
  • Final confirmation by AG Site Solutions

3.2 Cash Booking / Pay on Site Appointments

We offer a cash booking and pay-on-site service for selected appointments. For cash bookings:

  • Your booking request will be reviewed by our team.
  • Your appointment will only be confirmed once we have received your booking request and confirmed it via telephone call, SMS, WhatsApp, or email.
  • AG Site Solutions reserves the right to refuse cash bookings at its discretion.
  • Payment must be made in full at the property appointment unless agreed otherwise in writing.
  • Failure to make payment on-site may result in certificates, reports, photographs, floor plans, or documents being withheld.

3.3 Booking Information Accuracy

Customers are responsible for providing accurate information when making a booking, including:

  • Property address
  • Number of bedrooms and bathrooms
  • Property type
  • Extensions or loft conversions
  • Renewable energy systems
  • Occupancy details
  • Access arrangements

Additional charges may apply where incorrect or incomplete information is provided.

4. Pricing and Charges

4.1 General Pricing

Prices displayed on the website are subject to change without notice. Final pricing may vary depending on:

  • Property size
  • Property type
  • Location
  • Parking restrictions
  • Access limitations
  • Additional work required
  • Urgent or same-day appointments
  • Congestion or ULEZ zones

4.2 Call-Out Fees and Additional Charges

Call-out fees and additional charges may apply in certain situations, including but not limited to:

  • Missed appointments
  • Failed access
  • Emergency appointments
  • Same-day bookings
  • Out-of-hours bookings
  • Additional inspection time required
  • Waiting time exceeding 15 minutes
  • Incorrect booking information
  • Remote locations
  • Parking charges or toll charges

Any applicable charges will be communicated where reasonably possible before the appointment.

4.3 Stripe Online Payments

We use Stripe as our secure online payment provider. By making an online payment:

  • You authorise AG Site Solutions to collect payment for the selected service.
  • Payments are securely processed via Stripe.
  • AG Site Solutions does not store full payment card details.
  • Stripe's own terms and privacy policies may also apply.

Online payments may be required in advance for certain bookings.

5. Cancellations and Rescheduling

5.1 Customer Cancellations

Customers must provide at least 24 hours' notice for cancellations or rescheduling requests. Failure to provide sufficient notice may result in:

  • Loss of deposit
  • Cancellation fees
  • Call-out charges
  • Full appointment charges in severe cases

5.2 Missed Appointments

If our assessor or contractor attends the property and cannot gain access, the customer may still be charged. Examples include:

  • Tenant not present
  • Keys unavailable
  • Incorrect address provided
  • Property inaccessible
  • Unsafe conditions

5.3 AG Site Solutions Cancellations

We reserve the right to reschedule or cancel appointments due to:

  • Illness
  • Vehicle breakdowns
  • Adverse weather
  • Safety concerns
  • Technical issues
  • Operational circumstances beyond our control

Where possible, alternative appointments will be offered.

6. Property Access and Safety

Customers must ensure:

  • Safe access to the property
  • Reasonable working conditions
  • Access to all required rooms and areas
  • Pets are controlled where necessary
  • Utilities are available where required

We reserve the right to refuse or stop work where:

  • The environment is unsafe
  • Aggressive behaviour occurs
  • Illegal activity is suspected
  • Hazardous materials are present
  • Access is restricted

Charges may still apply where appointments cannot proceed due to safety or access issues.

7. EPC and Compliance Services

7.1 EPC Accuracy

Energy Performance Certificates are produced based on:

  • Visual inspection
  • Information provided at the property
  • Evidence available at the time of inspection
  • Government RdSAP methodology

Customers are responsible for providing supporting evidence where applicable. If evidence is not provided, assumptions may be applied in accordance with industry guidelines.

7.2 Amendments

Amendments requested after lodgement may require:

  • Supporting evidence
  • Additional inspection
  • Administrative fees

Not all requested changes can legally be made.

8. Reports, Photography, and Digital Deliverables

All reports, floor plans, photographs, certificates, and digital documents are prepared for the specific purpose of the ordered service. Documents may only be used by the purchasing client unless otherwise agreed.

We reserve the right to:

  • Watermark images
  • Restrict downloads
  • Withhold documents until payment is received
  • Remove portal access where accounts are overdue

Customers are responsible for downloading and storing their own copies.

9. Customer Portal and Accounts

Where customer accounts or portals are provided:

  • Customers are responsible for maintaining password confidentiality.
  • Customers must ensure login details are secure.
  • Accounts must not be shared without permission.
  • Misuse of the platform may result in suspension.

9.1 Customer Dashboard Access

Customers may be provided with access to a secure online dashboard or portal. Dashboard access may allow customers to:

  • View upcoming bookings
  • View completed bookings
  • Download EPC certificates
  • Download reports and compliance documents
  • Access floor plans and property photographs
  • View invoices and payment history
  • Track appointment status
  • Receive compliance reminders
  • Update contact details
  • Communicate with AG Site Solutions through secure messaging features
  • Access service history linked to their property

Access to certain features may depend on the services purchased.

9.2 Dashboard Login Security

Customers are responsible for:

  • Keeping login credentials secure
  • Ensuring authorised access only
  • Logging out of shared devices
  • Reporting suspected unauthorised access immediately

AG Site Solutions reserves the right to suspend or terminate access where misuse, fraud, abuse, or suspicious activity is identified.

9.3 Certificate and Document Storage

Certificates, invoices, reports, photographs, and downloadable files may remain available within the customer dashboard for a limited or extended period. Customers are responsible for downloading and securely storing their own copies.

AG Site Solutions does not guarantee permanent storage availability unless explicitly agreed in writing.

9.4 Compliance Reminders

Where available, dashboard systems may provide automated reminders relating to:

  • EPC expiry dates
  • EICR renewal dates
  • PAT Testing schedules
  • Compliance deadlines
  • Service reminders

Reminder systems are provided as a convenience only and customers remain responsible for ensuring legal compliance.

10. Communication Consent

By using our services, customers agree that AG Site Solutions may contact them via:

  • Telephone
  • SMS
  • Email
  • WhatsApp
  • Automated reminders
  • Appointment notifications

Communications may include:

  • Booking confirmations
  • Compliance reminders
  • Service updates
  • Payment reminders
  • Customer service follow-ups
  • Marketing communications where legally permitted

Customers may opt out of marketing communications at any time.

11. Refund Policy

Refunds are considered on a case-by-case basis. Refunds will generally not be issued where:

  • Work has already been completed
  • Certificates have been lodged
  • Reports have been delivered
  • Access was unavailable
  • Incorrect information was provided by the customer

Approved refunds may be subject to:

  • Administrative deductions
  • Call-out fees
  • Third-party processing costs

12. Third-Party Services and Referrals

AG Site Solutions may refer customers to third-party providers including:

  • Solicitors
  • Mortgage brokers
  • Estate agents
  • Contractors
  • Insurance providers
  • Utility companies
  • Renewable energy installers

We do not guarantee third-party services. Customers enter agreements with third-party providers at their own risk. Referral commissions may be received by AG Site Solutions.

13. Intellectual Property

All website content, branding, graphics, logos, text, reports, and materials remain the intellectual property of AG Site Solutions or its licensors. Customers may not:

  • Copy website content
  • Reproduce branding
  • Resell reports
  • Modify documents
  • Use materials without permission

14. Limitation of Liability

To the maximum extent permitted by law, AG Site Solutions shall not be liable for:
